Job description

Third Way is seeking an Executive Coordinator to support the Head of Business Operations and the work of the BizOps team, the group that manages the systems, policies, and day-to-day operations that keep Third Way running efficiently. This role provides helps to ensure the organization’s internal operations are coordinated, clear, and consistently executed by providing administrative, logistical, and project support across a wide range of operational priorities.
The Executive Coordinator will primarily support the Head of Business Operations, with occasional coordination support for wider Business Operations needs. This position is ideal for someone who enjoys organizing complexity, keeping things moving, and improving systems and processes behind the scenes.
As the Executive Coordinator, a typical day might include…
Manage internal and external scheduling, calendar logistics, and meeting preparation for the Head of Business Operations;
Coordinate cross-departmental meetings involving HR, Office Operations, Finance, IT, and Learning & Organizational Development, ensuring agendas, materials, and notes are prepared and follow-ups tracked to completion;
Arrange travel logistics, reservations, and reimbursements, and assist with expense reports, credit card coding, and labor tracking;
Support organizational projects, such as policy rollouts, retreats, audits, and onboarding initiatives — by managing logistics, documentation, and timelines;
Draft and proofread internal communications, memos, and procedural documents to support clarity and consistency across BizOps;
Support event planning and coordination for all-staff meetings, BizOps sessions, and professional development gatherings;
Use and maintain various tools and systems that enable operational excellence — including AI note-taking tools, Monday.com, Mailchimp, Miro, Salesforce, SharePoint, and Microsoft 365;
Handle sensitive operational and personnel information with discretion, sound judgment, and professionalism;
Assist with data organization and reporting by capturing, formatting, and routing information gathered from meetings or systems into shared tools;
Perform other administrative and operational duties as assigned to support the efficiency, organization, and communication flow of the Business Operations team.

Salary Range: $50,000 - $60,000, annually

Participate in Third Way’s comprehensive onboarding program. You’ll learn about all aspects of Business Operations, which includes HR, Benefits, IT, Finance, and office operations.
Meet your Third Way Buddy, be introduced to the entire staff, and start to learn the TW’s culture.
Learn our current processes for payroll, compliance, and labor tracking, and how you will partner with Finance and the rest of the Business Operations team on these processes.
Participate in weekly one-on-ones with your manager to ensure you fully understand the expectations of the job.
Attend weekly team meetings. You’ll learn about the key goals of each program, how they’re doing, what challenges they face, and how you will contribute.
Learn how to manage and maintain the Head of Business Operations’ calendar, recurring meetings, and inbox priorities with attention to detail and discretion.
Begin using key systems — Monday.com, SharePoint, Salesforce, and Microsoft 365 — to track tasks, organize materials, and support BizOps coordination.
Support the scheduling and logistics for regular BizOps meetings, including preparing agendas and taking notes using AI-assisted tools.

Gain an understanding each employee’s role and their contribution to the organization.
Attend program overview sessions to learn more about each team’s contribution to TW’s mission.
Incorporate TW’s Style Guide and Production process into your work products.
Participate in, at least, one of our internal Professional Development trainings or a Center for Fun activity.
Take ownership of meeting preparation and follow-up processes for the Head of Business Operations, ensuring action items are tracked and completed.
Begin coordinating logistics and materials for cross-departmental initiatives involving Finance, HR, IT, and LOD.
Identify small but meaningful opportunities to streamline administrative or communication workflows within the BizOps function.

Maintain organized systems and records across projects, leveraging digital tools to improve efficiency and accessibility.
Confidently manage day-to-day administrative workflows with minimal oversight, demonstrating initiative, judgment, and operational care.
