Third Way's Business Operations (BizOps) Department seeks a smart, creative, and enthusiastic person to work as our Office and Facilities Associate. This position partners with our Business Operations Manager to maintain the physical office's operational readiness, manage inventory, and provide facilities and administrative support. This position offers a unique opportunity to contribute to various operational aspects within the company, from greeting guests and handling org-wide communications to inventory management and supporting various aspects of the employee experience.

As the Office and Facilities Associate, a typical day might include...

  • Maintaining the operational readiness, appearance, and functional flow of the physical office common area (i.e., Pantry, Workroom, Huddle Booths, Conference Rooms, Reception Area)
  • Professionally greeting and assisting guests, managing incoming communications, and handling deliveries/ mail with efficiency.
  • Maintaining the inventory management process, including regular ordering, reconciliation, and budgeting for pantry and office supplies.
  • Ensuring optimal stock levels, organizing storage spaces, and coordinating with operations management to address inventory concerns. (i.e., Business Operations Manager)
  • Collaborating with the BizOps team to maintain up-to-date office directories and floorplans and assist with workspace readiness for new hires.
  • Partnering with Operations to monitor and enhance the office experience based on staff feedback and survey reviews
  • Maintaining passwords for online subscriptions
  • Supporting security efforts by activating and deactivating staff access fobs and updating visitor records as needed
  • Placing work orders to solve any issues that may arise regarding our physical space
  • Performing other job-related duties as requested

Job requirements

This might be the right job for you if you have

  • 1-2 years of experience in office administration or a similar role.
  • Have the desire to show Third Way at its best through team collaboration.
  • Strong organizational, communication, and problem-solving skills.
  • The ability to manage multiple tasks and competing deadlines.
  • Experience with inventory management and office support services
  • Have strong computer skills, with excellent proficiency in Microsoft Office Suite, specifically Word, Excel and PowerPoint
